As our annual meeting date draws closer I want to assure all attendees that appropriate safety measures are and have been in place at our destination resort and surrounding location. While travel warnings issued by the US State Department regarding recent elevations in drug related violence and tainting of alcoholic beverages should certainly not be ignored, they should also not trigger an over-reaction and a perception that personal safety has been compromised at our venue. To reiterate prior correspondence from the RRS, I want to emphasize that our meeting venue is a 5-star property with an impeccable food and beverage program. Additionally, all venues booked by RRS have been properly vetted. Local authorities have also taken measures to step-up security at popular tourist locations throughout Mexico (including Cancun) through additional surveillance, emergency preparedness, police and trained personnel. Specifically, the Fiesta Americana resort has trained security personnel on site 24/7, who have received extensive training designed to deliver service and hospitality promoting a worry-free atmosphere for business and vacation. Of course, nothing can substitute for common sense and sound judgment, and given that the majority of attendees are seasoned travelers, I expect that many of the issues regarding safe travel in Mexico have been placed in the appropriate context. Notwithstanding, rest assured that the RRS council has worked closely with our executive meeting team and corresponded with the appropriate on-site authorities to provide the best possible, content rich and relaxing experience for meeting participants.

2. Do you need a Visa? See below if you aren't sure.
3. Plan to pick up a tourism card (FMM) as soon as your arrive at the airport. Both your passport and FMM are required at the hotel to assure your exemption from the VAT tax.
4. Did you enroll your trip with the STEP program at your nearest US Embassy or Consulate?
5. Book your transportation to and from the airport. Taxis are not allowed to queue up at the airport and must be pre-arranged. Exclusive airport transfer services include knowledgeable English-speaking meet-and-greet by uniformed staff inside the airport. Staff members are assigned on a flight-by-flight basis, and are assigned specifically to our group. This staff tracks ETAs and late flights, whenever they encounter a no-show situation or a flight cancellation, they automatically go into the airline computer system and determine the new flight time, and automatically meet that substitute flight if it arrives within the arrival window listed below. As an added service, we are provided a toll free number into their Operations Department for use by passengers on arrival day who may have suffered a change in flight scheduling that will result in a delayed arrival; in that fashion they can adjust to changes as the day goes on, and ensure full servicing within the established arrival windows as listed below.

On arrival, once you leave the customs area, please avoid all time-share sales agents who will try to attract your attention, just walk straight out of the building and you will be able to see your shuttle representative. They will be dressed in gray polo shirts and blue navy trousers holding a customized sign with the RRS logo. Any passengers missing luggage are escorted to the lost baggage counter and the staff ensures that they have a copy of the missing bag report in their hands prior to being transferred to the hotel. Staff will take care of your luggage and escort you to the vehicle for transfer to the hotel.
